Add AI to Existing Business Software

Keep the software that handles the core job. BusinessForward can improve the steps that need attention, from review and feasibility through implementation, testing, training, and support.

A business team reviews one workflow before choosing the technical path.

Not sure this page is for you? The AI Workflow Automation hub has a quick best-fit check and a comparison of the three ways to connect systems — see the best-fit check and the three paths. This page goes deeper on one of those paths: adding AI around software you keep.

From workflow review to support

You do not need to choose the technology first.

Show us the work employees repeat and the software involved. We review the process, check access, and recommend the simplest reliable path.

Private model options

Use private AI when the workflow needs more control.

Private AI runs on infrastructure controlled by your company or BusinessForward rather than through a shared public service. It may be the right choice when your data must stay inside systems controlled by your company or BusinessForward. Before recommending anything, we trace exactly where your data would travel.

BusinessForward-controlled infrastructure

Customer data is not used for model training. Each project documents its retention period and deletion schedule. Access is limited to authorized BusinessForward personnel and authorized customer users according to agreed roles.

If you need computing that is reserved for you alone, we can set that up; it costs more, and we will say how much before you decide.

Customer-controlled infrastructure

We can install the model on infrastructure controlled by the customer. The surrounding workflow still needs a data-flow review.

When an outside service takes part — Make.com, an AI provider, or anything else — we review the complete path your data travels before we build.

Our AI in production

QR Inventory turns a spoken request into a checked business action.

QR Inventory interprets voice on iOS and Android phones and tablets. Audio never leaves the device. The app sends the selected action and its fields through the application's approved cloud service to the database. The app queues the structured request until service returns.

AI-assisted onboarding guides employees through common steps and answers questions in plain language.

QR Inventory also connects with QuickBooks Online, QuickBooks Enterprise, Procore, and Asana — conventional integrations that have run in production for years. Today the AI does its work inside QR Inventory: it understands the request, finds the records, and prepares the transaction there. Sending AI-prepared updates onward into those other systems is a step we are actively building, and no customer runs it today. We have not put AI inside those connections.

Active development

Extend checked AI actions into more business systems.

Email extraction, document extraction, and AI-driven QR Inventory transactions into external systems are active development. No customer is running them yet.

Illustrative examples

Start with a workflow that needs a clear next action.

These examples show possible workflows. No customer is running them yet.

Field request

Turn a field request into a proposed transaction for review.

Email request

Extract a request from email and match it to business records.

Employee guidance

Guide a new employee through setup and common tasks.

Inventory check

Check inventory availability for a project.

Status update

Move an approved status update to another supported system.

What access can a workflow use?

Possible access paths include APIs, files, custom apps, and webhooks. An API is a supported way for software systems to exchange information. A webhook is an automatic message one system sends when an event occurs.

Buyer questions

Answers before you choose a path.

Do we need to replace our current software?

Usually not. We begin by checking whether one focused workflow can improve the work around the software you want to keep.

How do you decide which technical path to use?

We review the business process, software access, data, rules, exceptions, privacy needs, and required result before recommending a path.

Can the AI model run on private infrastructure?

Yes. We can host a private model on BusinessForward-controlled infrastructure or install one on customer-controlled infrastructure. The complete data path still needs review.

What if our software has no ready-made connector?

We check for an API, webhook, file exchange, custom app, or another supported method. If no practical access exists, we explain the limit before work starts.

Can employees review an action before it changes another system?

Yes. The workflow can require review for every action or only when information is missing or uncertain.

Where does your team still repeat work between systems?

Show us the manual handoff and the software involved. We will help you decide whether an existing feature, an automation platform, or focused custom work fits best.
