Connect the work between systems

AI Workflow Automation and Software Integration

BusinessForward connects the software your team already uses, so information moves through the workflow without employees entering it again. We use whatever fits the process: the integrations your software already offers, automation platforms, APIs (a controlled way for two software systems to exchange information), or focused custom code.

Production integration example

Recorded

QR Inventory transaction

Inventory activity is completed once in QR Inventory.

Verified update

Integration path

The existing integration sends the transaction result to the connected project record.

Updated in real time

Procore Daily Logs

The transaction result appears where the Procore team already works.

The gap between systems

Keep each system. Improve the handoff.

Two applications can each do their job well and still leave manual work between them. Employees may copy orders, inventory updates, project details, status, or costs. They may also search more than one system before answering a basic question.

BusinessForward maps that handoff first. Then we choose the simplest reliable way to move and check the information.

Running with customers today

One transaction. Both systems updated.

QR Inventory can send inventory transactions to Procore in real time. The results appear in Procore Daily Logs, so teams can see the update without entering it again.

QR Inventory also has customer-used integrations with QuickBooks Online, QuickBooks Enterprise, and Asana. These workflows can coordinate orders, pricing, inventory availability, project tasks, status updates, and job costs.

Manufacturing workflow example

See orders, work, inventory, and costs in context.

Here is how the pieces fit together in one real question a manufacturer asks every day:

QR Inventory
Inventory, job costs, and sometimes orders.
QuickBooks Enterprise
Orders and pricing.
Asana
Project tasks and status.
Question
Do we have enough of item X for Project Y?
Goal
Use the same operational facts without entering them again.

Active development

Add voice and AI to workflows built on connections that already work.

BusinessForward is adding voice-based record matching and inventory checks to these existing workflows. AI can also explain the results in plain language. The team is also developing AI-driven QR Inventory transactions for connected external systems. Voice input is its own service — see Custom Voice AI for Field Operations.

These features are new work. We are building them now on the same approach that already runs in QR Inventory, and no customer is running them yet.

Onboarding and training

Help employees learn the software faster.

AI can shorten onboarding by guiding employees through setup and common tasks or answering questions in plain language. QR Inventory already supports guided steps and questions employees ask in their own words.

This approach supports normal training and human help. It does not replace them.

Start with one workflow

Build from a useful first step.

We help small and midsize businesses start with one workflow, then build on it as their needs grow. Our team also has experience supporting larger organizations, local governments, and other public-sector operations. See our five-step AI strategy guide for how to plan that path.

Choose the simplest reliable path

Use the tool that fits the workflow.

Use an existing feature

Choose the software's own feature when it already handles the full process.

Use an automation platform

Use standard connectors, which are ready-made links an automation platform provides for common software, when triggers and actions cover the complete workflow. A trigger is the event one system announces; an action is the step another takes in response.

Add focused custom work

Use APIs or custom services when the process needs record matching, special checks, or several systems.

Questions business owners ask

Start with the workflow, not the tool.

Can you connect software we already use?

That depends on the access each product provides. We first check built-in features, standard connectors, and APIs before suggesting custom work.

When is an automation platform enough?

It is often enough when both products have reliable connectors and the workflow follows clear triggers, actions, and rules.

What happens when software has no ready-made connector?

We check whether an API, file exchange, or another supported method can move the needed information. If not, we explain the limit before work starts.

How do you prevent duplicate or incorrect records?

The workflow can match existing records, check required details, and pause uncertain cases for a person to review.

Can employees review an action before it changes another system?

Yes. A review step can be used when a change carries risk or the match is uncertain.

Can AI prepare transactions for connected external systems?

This feature is new work. We are building it on the same approach that already runs in QR Inventory; no customer is running it yet.

Can AI guide employees through setup and common tasks?

Yes. QR Inventory already supports guided steps and questions employees ask in their own words. This supports normal training and human help; it does not replace them.

Can we start with one process and add more later?

Yes. A focused workflow can solve one clear handoff first. Later work should be added only when the next need and its software access are understood.

Where does your team still repeat work between systems?

Show us the manual handoff and the software involved. We will help you decide whether an existing feature, an automation platform, or focused custom work fits best.
