Know what you have and where it is

A worker may need a generator, pump, tool, or pallet for a job. A useful answer gives the right item, its site, and the amount on hand.

The system of record — the one system everyone agrees holds the true answer — may be a field inventory app, an equipment system, or another approved business application. AI should help the employee reach that record. It should not invent missing asset data.

What good asset records look like before AI

Voice does not repair a record that was already wrong. Before a workflow can answer questions about your equipment, five things have to be true of the records behind it. Most teams already have some of them.

Each item appears once. The same pump entered three ways becomes three records, and three records split the count. A split count is worse than no count, because the answer still sounds sure of itself.

Every record carries a location. Yard, truck, bin, or crew — the level matters less than using the same level everywhere. “Somewhere on the north site” cannot be checked or moved.

Quantities have a date. A count nobody has touched in a year is a guess with a number attached, so the workflow should show when each figure was last confirmed.

Status means one thing. If “out” means loaned to a crew on one record and sent for repair on another, no rule can be written against it. Agree on a short list of statuses and what each one allows.

One system holds the truth. When the equipment list lives in both a spreadsheet and the app, someone has to decide which one wins before the workflow is built. That is a management decision, not a technical one.

Ask in ordinary language

A field user can ask for generators with a required voltage. The app turns the spoken request into the same search you would get by filling in the form fields by hand.

Asset names can sound alike. Sites and item codes can also overlap. The workflow should show the matched record and the facts that set it apart.

Check the name, item code, type, and needed specs.

Place

Check the current site, warehouse, bin, vehicle, or assigned crew.

Status

Check the available amount and whether the item can be used or moved.

Keep field transactions moving

A lookup may lead to a transfer, an issue (handing an item out to a job or person), a return, a count, or another transaction the app supports. Low-risk actions may run on their own under customer rules. Other actions can pause for review. If there is no internet connection, the app queues the request and sends it when service returns.

Common questions

How much of the record cleanup has to happen first?

Only the part the first workflow touches. If the first question is about generators at three yards, the generator records at those three yards have to be right, and the rest can wait. Keeping that first workflow narrow is usually the cheapest way to shorten the cleanup.

Can the AI clean the records for us?

It can help find the problems — likely duplicates, blank locations, counts that have not moved in months — and put them in a list a person works through. Deciding which of two near-identical records is correct requires someone who understands the equipment.
